Clinical Administrative Assistant

Summary of Position

The Clinical Administrative Assistant plays an integral role in the success of our team, our community and creating a place our residents are proud to call home. The primary purpose of this position is to perform administrative and clerical tasks to support clinical staff and ensure the efficient operations of the nursing unit(s). The role involves maintaining resident records, scheduling medical appointments and transportation services, coordinating communications to residents, families, staff and providers and providing administrative support to ensure the smooth operation of clinical services.

Essential Job Functions

  • Coordinate medical appointments and transportation services: Arrange provider appointments and coordinate transportation for residents to and from appointments, ensuring timely and efficient service.
  • Medical Records Management: Assist in the maintenance, organization, and updating of resident medical records, ensuring accuracy and confidentiality.
  • Administrative Support: Provide general administrative support, including scheduling appointments, answering phone calls, managing workflow and correspondence.
  • Patient Interaction: Communicate with patients and their families to provide information and support regarding appointments, transportation, and medical records.
  • Collaboration: Work closely with healthcare providers, staff, and external partners to ensure seamless coordination of services.
  • Compliance: Ensure compliance with healthcare regulations and policies related to resident
  • transportation and medical records.
  • Unit Organization: Assure nursing unit(s) are maintained in a clean and orderly fashion.
  • Perform other job-related duties as assigned.
Knowledge and Critical Skills
  • Be able to make independent decisions and follow instructions.
  • Deal tactfully with personnel, prospects, residents, family members, visitors, government agencies/personnel, and the public.
  • Capable of working with ill, disabled, elderly, and emotionally upset people within the facility.
  • Communicate effectively in a manner that is sufficient for effective communication with supervisors, team members, prospects, residents, and families.
  • Proficiency in using office software and medical record systems.
Education and Experience
  • Must meet all applicable state and federal requirements for this position.
  • High school diploma or equivalent; additional certification in healthcare administration is a plus.
  • Previous experience in a healthcare setting or administrative role preferred.
  • Basic knowledge of medical terminology and health care documentation.
  • Strong organizational and multitasking skills.
Supervisory Responsibility

This position does not have any direct reports or supervisory requirements.

Working Conditions and Physical Demands

Tasks assigned to this position may involve potential and/or direct exposure to blood, body fluids, infectious diseases, air contaminants, and hazardous chemicals.

Physical Requirements - The Physical activities of this position involve:
  • Must be able to lift 30 pounds at times
  • Alternating between standing and sitting
Cognitive Requirements - The Cognitive activities with or without prosthetics of this position are:
  • Executes tasks independently
  • Ability to express yourself clearly and effectively
  • General computer literacy
Environmental Requirements - An individual in this position may be exposed to:
  • Ambient room temperatures and lighting
